Core Data Form - Instructions and Guidance


The Core Data Form collects contact information (names, mailing addresses, phone numbers) about the people, businesses, and institutions that TCEQ regulates.

The Agency has revised Form #10400, the TCEQ Core Data Form (CDF). The main focus of these revisions was to make the form more user-friendly and to add an Authorized Signature section. The addition of this section will decrease the amount of forms a customer needs to submit to update their core data. Many program areas have worked diligently to revise the CDF and the handling process in order to improve the timeliness and accuracy of processing data changes.

The form will be ready for use on October 1st 2007. Any old versions of the Core Data Form should not be submitted after this date. Continued use of the old form may delay processing of applications or data update requests.

Highlights of the Revised Core Data Form

  • Addition of options for Reason of Submission (Field 1).
  • Addition of an Effective Date for customer information updates (Field 5).
  • Addition of Required Data for selected Customer Types (Field 8).
  • Addition of Authorized Signature, Section V (Field 46).
  • Streamline customers' ability to update certain core data without submitting additional program area forms. Please contact the program area for information on the data that can be updated using only the CDF.

customer: a business, governmental body, association, individual, or other entity that owns, operates, is responsible for, or is affiliated with a regulated entity. (more about this term)

regulated entity: the thing that is or has been of environmental interest to the TCEQ. Includes such things as site locations and licenses. (more about this term)

How to Submit the Core Data Form

**Effective March 7, 2005, Central Registry will no longer accept e-mails for data corrections**

As part of a registration, application, or update package:
  • Include the form with the package.
  • Send everything to the address stated in the package—not to the Central Registry Program.

  • To change or update information for a specific permit, registration, or TCEQ program:
  • Contact the specific TCEQ program area for guidance.

  • To change or update Core Data for all your permits, additional IDs, and programs:
  • Send the change to the Central Registry Program.

  • To indicate that you are no longer associated with a facility:

    1. First, let the TCEQ program area know.
    2. If you are asked to send in a Core Data Form:
  • Mark "Other" under "Customer Role" (Item 5 on the form).
  • In the box to the right of "Other," note the change and the date. For example:
    • "former owner as of 8/1/2006"
    • –or–
    • "former operator as of 1/1/2007"
If the box is too small, feel free to write your note outside the box or attach a letter.
